Generating an App Password

Overview

You will need to generate an App Password if you have Two Factor Authentication enabled on your account AND you want to use IMAP (i.e. connecting to your emails through Outlook, Apple Mail, etc).

What is an App Password?

An App Password is a secondary password generated specifically for one software connection. This means that if this App Password is compromised or lost, it doesn't affect your main account.

Why do I need an App Password?

Software like Outlook and Apple Mail aren't compatible with Two Factor Authentication, so we use a separate password instead.

What is Two Factor Authentication?

TFA adds a layer of security for your email account as your email and password is not enough for you to login. An unique code will be sent to the registered mobile number or an app you've set up and you will be granted access upon submitting the verification code.


Method

  1. Sign into your Parish Online Mail account through your webmail portal, e.g. https://mail.myparishcouncil.gov.uk (yours will be different to this)
  2. Go to the Accounts section. There are two ways to do this:
    1. Click this link https://accounts.zoho.eu/home#security/app_password
    2. In the top right, click on the circular icon, Click Zoho Account, Go to Security > App Passwords,
  3. Click Generate New Password
  4. Give it a name, e.g. "Outlook Desktop"
  5. Copy the password
You can now use this password for connecting your mailbox to Outlook (or other IMAP apps)
